Data Protection Commitment
We built Resonaa to help businesses understand their conversations — not to harvest their data. Your information is never collected, stored, or processed for the purpose of training AI models, and it never will be.
Every call recording, transcript, CRM record, and piece of analytics output you generate through Resonaa remains exclusively yours. We do not feed your data into any machine learning pipeline, neural network, large language model, or any other form of AI training — whether for our own products or for any third party.
When our AI analyzes your conversations, it does so on demand to produce results for you. The moment that analysis is delivered, your data exits the AI processing pipeline entirely. No copies are kept for model improvement. No patterns are extracted for future training datasets. Nothing is aggregated across customers.
We understand that your call data, customer conversations, and business intelligence are among the most sensitive assets your organization owns. That is exactly why we have made this a core principle of how Resonaa operates — your trust is the foundation of our business.
When you sign up for Resonaa, we collect the information needed to create and manage your account: your name, email address, phone number, company name, job title, and an encrypted password. If you subscribe to a paid plan, we also collect billing and payment details through our secure payment processor.
The core of our service is analyzing your business conversations. When you upload or record calls through Resonaa, we process audio recordings, transcripts, call metadata (such as date, duration, and participants), and the resulting analysis (sentiment scores, topic classifications, action items). This data is processed solely to deliver insights back to you — it is never used for any other purpose.
When you connect Resonaa to tools you already use — such as your CRM, Zoom, Microsoft Teams, Gmail, or WhatsApp — we collect only the data necessary to make that integration work, such as access tokens, meeting identifiers, and relevant contact information. We request only the minimum permissions required and never access data beyond what is needed for the integration.
We collect basic information about how you interact with the platform, including IP addresses, browser and device type, pages visited, and features used. This helps us understand how our product is being used so we can improve it. This data is never linked to your conversation or call content.
We use cookies to keep you logged in, remember your preferences, and understand general usage patterns. We do not use cookies for advertising or to track you across other websites. You can manage your cookie preferences through your browser settings at any time.

We do not sell, rent, or trade your personal information or your conversation data to anyone. Here are the limited circumstances under which we may share information:
We work with trusted infrastructure providers to host and operate Resonaa, including cloud hosting, payment processing, and email delivery services. These providers are bound by strict contractual obligations to protect your data and are prohibited from using it for any purpose other than providing their service to us.
Team members within your company who have been granted appropriate permissions by your account administrator can access data within your organization's workspace. You have full control over who can see what through role-based access settings.
We may disclose information if we are legally required to do so — for example, in response to a valid court order, subpoena, or government request. We will always seek to limit the scope of such disclosures and will notify you when legally permitted to do so.
If Resonaa is involved in a merger, acquisition, or asset sale, your data may be transferred as part of that transaction. In such a case, we will notify you before your data becomes subject to a different privacy policy and will ensure the acquiring entity honors the commitments we have made to you.

We keep your data for as long as your account is active and you need it. You can delete any data at any time directly from the platform — there is no waiting period. If you close your account, we will permanently delete or fully anonymize all of your data within 90 days, unless we are legally required to retain specific records for compliance purposes. We will always tell you if a legal hold applies to any of your data.
